Estimates

How long is an estimate link valid?

7 days. If it expires, open the estimate and click Send to Customer again. See Send an estimate for approval.

I re-sent an estimate and the customer says the link doesn't work.

Sending again creates a new link and the old one stops working. Ask the customer to use the latest email.

Can customers sign on their phone?

Yes. The approval page works on any device. They can draw their signature or type their name.

Can I make customers accept my terms before approving?

Yes. Add your terms under Settings → Repair Configuration → Repair terms. Customers must tick the box before they can sign.

What happens when a customer declines or asks for changes?

The estimate status updates and their message appears on the estimate. Edit it and send it again.

Payments and POS

Can a customer pay with more than one method?

Yes. At checkout, enter part of the total under Split Payment Amount, click Add, then pay the rest with another method. See Take payments at the POS.

The customer will pay later. What do I do?

Click Create Unpaid Invoice at checkout. Take the payment from the invoice when they come back.

How do I give change for cash?

Enter the amount the customer handed over. GetRepair shows Change Due.

How do I remove tax from one sale?

Click Void Tax at checkout. For a customer who never pays tax, mark them as exempt instead. See Set up a tax-exempt customer.

Refunds and exchanges

Can I refund part of an invoice?

Yes. Tick only the items you're refunding, or lower the refund amount on a line. See Refunds and exchanges.

Can I refund the same item twice?

No. Each line can be refunded once, and every refund creates its own refund invoice.

What's the difference between "Restock" and "Mark faulty"?

Restock puts the item back into sellable stock. Mark faulty moves it to Faulty Items, so you can return it to the supplier with an RMA.

How do I swap an item for a different one?

Use Exchange on the invoice. It refunds the returned items and sells the new ones in one step.

Can I stop staff from refunding without a manager?

Yes. Turn on PIN protection for refunds. See PIN-gating sensitive actions.

Cash register

Do I have to use cash register shifts?

No. All register settings are off by default. Turn on Require Start of Shift if you want staff to count the float before selling. See Run cash register shifts.

What's the difference between an X report and a Z report?

An X report is a snapshot during the shift and doesn't close anything. A Z report is produced when you close the shift and compares expected cash with what you counted.

How do I record petty cash taken from the drawer?

Use Payout (or Cash Out) on the shift bar so the expected cash stays correct.

Inventory and purchase orders

Can I receive part of a purchase order?

Yes. Enter only what arrived under Receiving Now. Receive the rest when it comes. See Create and receive a purchase order.

How do I use credit a supplier owes me?

After an RMA credit, new POs for that supplier show the credit available. Apply it on the PO, or choose Supplier Credit when you record a payment.

I need a part I don't stock for one repair.

Use Special Part Order on the ticket. GetRepair creates the purchase order when you save. See Order a special part for a repair.

Customers

How do I give a customer store credit?

Open their profile and click Add Credit on the Store Credit card. See Give and use store credit.

A customer is back with the same device. Is it under warranty?

When you start the ticket, GetRepair shows a banner if the earlier repair is still covered, with a button to open a warranty claim. See Handle a warranty claim.
